When the gateway renewal quote lands, most hotels do the easy thing and approve it. Then the same quote comes back next year at the same price, for the same aging hardware. Before you sign another one, it is worth asking whether you are renewing a gateway or quietly renting an old one.
This article walks through how to decide, what to check first, and what the numbers can look like over three years.
What a gateway renewal actually buys
A renewal typically covers licensing and support on the gateway you already own. It does not usually give you new hardware, so the appliance keeps aging while the annual charge keeps recurring. That is not necessarily wrong, but it is the thing to understand before you compare options.
Ask your current provider exactly what the renewal includes: support hours, firmware and software updates, replacement terms if the unit fails, and what happens when that model reaches end of support.
Five questions to answer before you decide
- How old is the hardware? A gateway several years into service is closer to replacement than one bought recently.
- What does the renewal cover? Compare it line by line against what a new platform would include.
- Which features do you actually use? Guest access codes, tiered or premium bandwidth, conference and event codes, custom splash pages, and PMS integration all matter. List them.
- Do brand standards or your PMS constrain the choice? Confirm your PMS environment, for example Opera, and any brand requirements before you commit to anything. Our guide to PCI and brand standards for hotel Wi-Fi explains what auditors look for.
- What are guests and staff complaining about? Slow streaming, awkward front-desk workflows, and codes that are hard to manage are signs that the gateway, the access points, or the network design needs attention. These are not always the same problem, so assess the network first.
The three-year cost math
The simplest test is to put both options side by side over three years. Here is an example using a historical hotel gateway renewal of $1,833.38 for one year of licensing and support, before tax, compared with NetConcierge Professional installed at $3,995, which includes the first year of Platform Assurance, followed by $695 a year.
| Existing gateway renewal (example) | NetConcierge Professional | |
|---|---|---|
| Year one | $1,833.38 | $3,995.00 |
| Year two | $1,833.38 | $695.00 |
| Year three | $1,833.38 | $695.00 |
| Three-year total | $5,500.14 | $5,385.00 |
Under these assumptions the replacement costs $115.14 less over three years and gives you a new gateway with standard installation. From year two onward, annual support is $1,138.38 lower, about 62% less than the renewal example.
This comparison uses a historical one-year renewal example and assumes the same renewal price each year. Actual provider pricing and coverage vary. Taxes, additional project work, and any future hardware purchase for the existing system are excluded.
Your numbers will be different, which is the point. Use your own renewal quote and run the same three-year total.
When renewing is the right call
A replacement is not always the better move. Renewing can make sense when:
- The hardware is recent and the renewal price is low.
- A brand standard or contract requires your current gateway.
- You expect a renovation, conversion, or sale soon enough that a new gateway will not pay back.
- You depend on a deep custom integration that a replacement would need to reproduce.
When replacing makes sense
- The renewal price is high and has been the same for years.
- The hardware is aging and the model is nearing end of support.
- You want better control over bandwidth, such as streaming-friendly speed tiers, separate VLANs, or easier front-desk upgrades for guests.
- Your annual support charge is a meaningful line item you would like to lower.
What a changeover involves
A planned replacement should be uneventful for guests. We agree on a cutover window, test the configured services, and provide a staff handoff. We confirm your PMS environment, integration requirements, and any brand requirements before quoting the deployment. Whether you can keep your existing access points is part of the assessment, because compatibility and configuration requirements are confirmed first. Wi-Fi coverage also depends on access points, cabling, and network design, so a new gateway does not fix coverage by itself.
Frequently asked questions
How do I compare a gateway renewal with a replacement?
Add up what you will pay over three years for each option. For the renewal, multiply the quoted annual price by three. For a replacement, add the purchase price, installation, and the annual support charge for the remaining years. Then check what each option includes, because the cheaper number is only the better deal if it covers what you need.
When does renewing the existing gateway make sense?
Renewing can make sense if the hardware is recent, the renewal price is low, a brand standard requires your current gateway, or you plan a renovation, conversion, or sale soon enough that a new gateway would not pay back.
Will replacing the gateway disrupt guests?
A planned changeover should not. The usual approach is an agreed cutover window, testing of the configured services such as access codes, bandwidth tiers, and PMS integration, and a staff handoff. Property-specific timing and requirements belong in the deployment plan.
