The Challenge
The client's existing meeting spaces relied on aging, mismatched equipment that made it difficult for staff and outside partners to start a call without help from IT. Audio dropped out, cabling was visibly patched together, and there was no simple way for a staff member to walk in and start a meeting on their own. With more of the organization's work happening over video—board meetings, funder check-ins, and multi-site staff calls—the nonprofit needed two dependable, professional-grade rooms that any employee could operate without training.
The Solution
WNS designed and installed a matching setup in both rooms so staff would have a consistent, predictable experience no matter which room they booked. Each room features a 65-inch high-definition display, providing a crisp, professional visual experience for in-person and remote participants alike. To ensure clear, room-wide audio and effortless communication, we integrated the Logitech MeetUp camera system — an all-in-one conferencing solution that delivers exceptional sound and image quality without a rack full of separate components.
For convenient meeting control and system management, we installed an IP-based control pad in each room, allowing users to easily start, join, or adjust meetings with a simple touch interface. This setup offers a clean, professional look and intuitive operation, reducing setup time and making every meeting seamless—no dial-in codes to read off, no cables to hunt for.
The Result
The client now has two modern conference rooms that provide high-quality video conferencing, reliable connectivity, and easy-to-use controls — all tailored to their workspace and day-to-day needs. Staff can walk into either room and start a call within seconds, without waiting on IT support, and remote participants get consistent audio and video quality in both spaces. Because the equipment is standardized across both rooms, our team can also support and troubleshoot the systems remotely as part of the client's ongoing managed services plan, rather than requiring an on-site visit for every issue.
